Duties & Responsibilities

Account & Financial Administration

Capture, verify, and process invoices, delivery notes, and purchase orders accurately.

Ensure invoices are authorised and suppliers are paid timeously.

Liaise with Procurement, vendors, and internal stakeholders to resolve queries and discrepancies.

Maintain accurate vendor, purchase order, and payment records.

Escalate unresolved issues to Project Managers or Line Management when required.

Administrative Support

Provide effective day-to-day administrative support to ensure uninterrupted workflow.

Manage sensitive information and reports in line with confidentiality requirements.

Communicate regularly with internal teams, customers, and suppliers.

Identify and support process improvements to enhance efficiency and turnaround times.

Customer Service & Reporting Respond to and resolve customer and supplier queries promptly.

Prepare weekly and monthly project reports, statistics, and presentations as required.

Maintain professional supplier relationships and manage conflict constructively.

Compliance & Additional Duties

Adhere to DSFM SHEQ policies, procedures, and quality standards.

Perform additional tasks as required to support operational sustainability.

Take accountability for own performance and professional conduct.
