Governance Officer (Hay 12) (Internal & External) (North West)
Requirements
- ✓National Diploma in Procurement, Logistics, Supply Chain Management or equivalent (NQF Level 6) qualification.
- ✓1-2 years’ experience in Procurement or SCM environment
- ✓Governance and or supplier database management Public Sector procurement experience will be advantageous

KEY PERFORMANCE AREAS:
SCM Governance – Workflow System Operation
• Ensure that process documents are according to the regulatory requirements
• Check necessary documentation for completeness
• Ensure that applicable approvals are granted
• Process purchase requisition and orders timeously on the workflow system.
• Identify compliance gaps on purchase requisitions and inform management accordingly
• Liaise with both business and buyers on PR compliance matters
Vendor System Maintenance
• Register and update vendor information on the system
• Ensure necessary vendor compliance documents prior to on-boarding of new vendors
• Verify validity of various documents with relevant issuing entities.
Administrative Function
• Mailing of purchase orders where system did not automatically send to the supplier
• Maintain proper filing system for all transactional documents.
• Ensure confidentiality of supplier information
• Ensure that process documents are stored safely for audit trail
• Adhere to all safety & GMP procedures in the performance of job duties.
• Ensure easy and quick availability of compliance documents as and when required
• Perform any other reasonable Supply Chain Management duties as assigned by the superior.
Communication with stakeholders
• Handle system and compliance related engagement with both internal and external stakeholders
• Ensure standardisation and consistency on system and compliance communication
• Engage directly with key internal and external stakeholders on operational issues relating to the database system and compliance requirements
Key knowledge and skills:
• Knowledge of public sector procurement regulations which are not limited to PFMA, PPPFA, BBBEE and CIDB Regulations etc.
• Knowledge of PFMA, Supply Chain Management legislation and other regulatory framework pertaining to National Treasury framework
• Computer Literate
• Microsoft Dynamics / Workflow working experience in procurement advantageous
