Requirements

  • Minimum requirements:
  • Grade 12 (Matric).
  • Must have sound knowledge of Word, Outlook, Excel, and PowerPoint.
  • Patricia and Elite knowledge would be advantageous.
  • Ability to maintain composure during stressful situations occurring as a result of workloads and/or deadlines.
  • Ability to be discreet since the position will require dealing with certain confidential client
  • Excellent verbal and written communication skills.
  • Client focus.
  • Ability to prioritise work efficiently in order to comply with deadlines.
  • Good attention to detail, as accuracy is very important.
  • Excellent administration skills to ensure an efficient filing and record keeping system.

Job Description

Our Trade Mark Formalities Department is excited to announce an immediate opening for a Junior Trade Mark Formalities Intern.

Key responsibilities of the Search Clerk will include, but not limited to:
Admin

1. Ensure regular follow ups with CIPC regarding outstanding Notice of Acceptance, Advertisement or Registration Certificate;
2. Upon receipt of the Notice of Acceptance, Advertisement or Registration Certificate ensure that the information is checked against Patricia and clients’ instruction to ensure accuracy thereof;

3. Ensuring that all errors are corrected immediately either on Patricia or by requesting changes from CIPC once confirmation is received from Manager;
4. Advertise Notice of Acceptance in the patent journal;
5. Ensure that all Notices were Advertised by CIPC, as requested;
6. Report at each step in the formalities process to client and manager;
7. Ensure that all MJ applications are reported correctly and in accordance with CIPC requirements;
8. Ensuring that all actions relating to formalities are consistently updated on Patricia;
9. Ensuring that all formalities workflows are followed on Patricia without manually amending Patricia workflows or actions;
10. Ensure that all termlist matters are dealt with daily;
11. Capturing all correspondence on Patricia, and operation of a paperless environment in line with firm policy in this regard;
12. Maintaining a professional and respectful working relationship with team members and all colleagues;
13. Effectively assisting with the day-to-day efficient operation of the office;
14. Ensure effective time management to ensure maximum productive time;
15. Be mindful of costs to the firm i.e. inappropriate use of company property such as internet, telephones, unnecessary printing of documents etc.;
16. Take responsibility for self-development by communicating your development needs to your manager;
17. Use the correct mailbox when sending emails to clients, agents, or colleagues.
Client Relations
1. Ensuring that all matters are dealt with in accordance with client specific requirements;
2. Ensuring that all client queries are resolved timeously i.e. invoice queries, general queries etc.
Billing
1. Ensuring that monthly invoicing of fees and capturing of disbursements are done accurately and timeously and in accordance with client and company requirements;
2. Ensuring that invoices are sent to clients or accounts team (ebilling) immediately after billing on Elite.
Strategy
1. Ensuring that monthly target is met;
2. Ensuring client satisfaction.
